The Receptionist & Administrative Assistant at Davis Insurance Associates, Inc. plays an important role in creating a positive first impression for our clients and supporting the day-to-day operations of our insurance agency.

This position is responsible for answering and directing incoming calls, greeting clients, assisting with routine customer requests, managing correspondence, and providing administrative support to our insurance team. The ideal candidate is friendly, dependable, organized, comfortable with technology, and able to manage multiple priorities in a busy office environment.

Responsibilities

  • Answer incoming telephone calls in a professional and friendly manner and route calls to the appropriate team member.
  • Greet clients and visitors and help create a welcoming, professional office environment.
  • Assist clients with routine requests and determine the appropriate team member to handle insurance-related questions or service needs.
  • Monitor and respond to general office emails, messages, and correspondence.
  • Take detailed and accurate messages and ensure they are delivered to the appropriate team member.
  • Assist with scheduling appointments and maintaining calendars as needed.
  • Process incoming and outgoing mail, documents, electronic correspondence, and other administrative items.
  • Scan, upload, organize, and maintain documents and client records within agency systems.
  • Assist with data entry and updating client information in the agency management system and other software platforms.
  • Provide administrative support to insurance agents, account managers, and management.
  • Follow up on outstanding administrative items and help ensure tasks are completed in a timely manner.
  • Assist with preparing letters, emails, forms, reports, and other documents.
  • Help maintain an organized front office and common work areas.
  • Communicate professionally with clients, insurance companies, vendors, and fellow employees.
  • Maintain confidentiality of client and agency information.
  • Assist with special projects and other administrative duties as needed.
Qualifications

  • Previous receptionist, administrative assistant, office, or customer service experience is preferred.
  • Insurance experience is helpful but not required.
  • Friendly, professional, and comfortable communicating with clients both in person and over the phone.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and organizational skills.
  • Ability to manage multiple tasks and priorities while maintaining accuracy.
  • Dependable, punctual, and able to follow through on assigned responsibilities.
  • Comfortable working in a fast-paced office environment and assisting multiple team members.
  • Strong computer and technology skills, including email, web-based applications, and Microsoft Office programs.
  • Ability and willingness to learn new software and office systems.
  • Professional appearance and demeanor.
  • Positive attitude and a team-oriented mindset.
  • Ability to handle confidential information with discretion.

Compensation: $16.00 - $19.00 per hour
